Roundcube is a modern, feature-rich webmail application included with every SakuraHost hosting account. It provides a familiar email experience accessible from any web browser, anywhere in the world, without installing any software. This guide covers everything from logging in to advanced features that will help you work productively.

Accessing Roundcube Webmail

There are three ways to access Roundcube webmail:

Method 1: Direct URL

Open your web browser and navigate to:

https://yourdomain.co.tz/webmail

or

https://webmail.yourdomain.co.tz

Enter your full email address and password to log in.

Method 2: Via cPanel

Step 1: Log in to cPanel via billing.sakurahost.co.tz.

Step 2: Go to Email > Email Accounts.

Step 3: Click Check Email next to the account you want to access. This opens Roundcube directly without requiring a password.

Method 3: Via Client Area

Log in to billing.sakurahost.co.tz, navigate to your hosting service, and use the Webmail Login shortcut in the sidebar.

Navigating the Roundcube Interface

Roundcube provides a clean, three-panel layout familiar to users of Gmail, Outlook, and other modern email clients:

  • Left Panel (Folder List): Shows all your email folders including Inbox, Drafts, Sent, Junk, and Trash. Click any folder to view its contents.
  • Middle Panel (Message List): Displays the list of emails in the selected folder. Click column headers to sort by date, sender, subject, or size.
  • Right/Bottom Panel (Preview): Shows the content of the selected email. You can toggle preview pane position or disable it from Settings.

Composing and Sending Emails

Step 1: Click the Compose button (or press the 'C' keyboard shortcut) in the top toolbar.

Step 2: Enter the recipient's email in the To field. Use the Cc field for carbon copies and Bcc for blind copies.

Step 3: Enter a clear, descriptive Subject line.

Step 4: Compose your message in the body area. Roundcube supports rich text (HTML) editing with formatting options including bold, italic, lists, links, and font customization.

Step 5: To attach files, click the Attach button (paperclip icon) or drag files directly into the compose window.

Step 6: Click Send when ready.
Attachment Limits: The maximum attachment size depends on your hosting plan's PHP settings. The default limit is typically 25-50 MB. For larger files, consider sharing via a cloud storage link (Google Drive, Dropbox) instead of direct attachment.

Managing Contacts

Roundcube includes a built-in address book for storing and organizing your contacts:

Step 1: Click the Contacts icon in the top navigation bar.

Step 2: Click the + (Create) button to add a new contact. Fill in the name, email address, phone number, and any other relevant details.

Step 3: To create contact groups, click the + icon in the Groups column. Groups make it easy to send emails to multiple recipients at once.

Step 4: You can import contacts from a CSV or vCard file using the Import button in the toolbar.

Setting Up Your Email Signature

A professional email signature reinforces your brand identity in every message:

Step 1: Click Settings (gear icon) in the top-right corner.

Step 2: Select Identities from the left menu.

Step 3: Click on your email address (or create a new identity).

Step 4: In the Signature field at the bottom, toggle the HTML signature option to create a formatted signature.

Step 5: Enter your signature. A professional example:
<p style="margin:0"><strong>John Doe</strong><br>
Managing Director<br>
Your Company Ltd.<br>
Phone: +255 XXX XXX XXX<br>
Web: <a href="https://yourdomain.co.tz">yourdomain.co.tz</a></p>

Roundcube vs. Desktop Email Clients

Roundcube is ideal for situations where you need quick access without installing software, but for daily heavy use, consider pairing it with a desktop email client like Outlook or Thunderbird. Using IMAP, your emails stay synchronized between webmail and any connected clients, giving you the flexibility to use whichever method is most convenient at the time.
